Privacy and data use

Mantrailing Aotearoa Association collects information through this website to manage membership applications, committee nominations, training safety, communication, event planning and general enquiries.

Information we may collect

  • Name, preferred name, email, phone, address and region.
  • Dog details, training interests, handler experience and safety notes.
  • Emergency contact details where supplied.
  • Committee nomination bio, role interest, experience, conflict declarations and eligibility declarations.
  • Messages submitted through the contact form.

Why we collect it

  • To assess and manage membership applications.
  • To communicate with applicants and members.
  • To plan safer training sessions and manage risk.
  • To support committee nominations, AGM/voting processes and governance records.
  • To maintain association records required by the constitution and relevant law.

Who can access it

Information may be accessed by authorised committee members or people appointed to help with membership, training safety, events, records, governance or administration. Committee bios may be shared with members for nomination, voting or AGM purposes where the nominee has consented.

Third-party form processing

Forms are processed through Formspree because this website is hosted on GitHub Pages and does not have its own backend database. Submissions are sent to the configured association email/inbox and may also be stored in the Formspree account dashboard.

Keeping information accurate

Members should tell the association when their contact details, dog details, emergency contact or safety information changes.

Requesting access, correction or deletion

You can contact the association to ask what information is held about you, request corrections, or request deletion where the information is no longer required for membership, safety, governance, legal or record-keeping purposes.

Security

The association should limit access to form submissions, use strong account passwords, enable two-factor authentication where possible, and regularly export/archive records where needed.
